01. SHARE YOUR EVENT DETAILS
We begin by learning about your event, your goals, and the type of imagery your team needs. For corporate events and conferences, this often includes reviewing the venue, schedule, keynote speakers, VIPs, branding, sponsor activations, and any priority moments or deliverables. From there, we can recommend the appropriate coverage time and photography team for your event.
02. PLAN THE COVERAGE
Ahead of event day, we coordinate with your team to review the run of show, room locations, timing, access requirements, and any special photography requests. For larger New York City conferences and summits, this may include planning coverage across multiple ballrooms and nearby locations. The goal is to have a clear coverage plan in place before the first guest arrives.
03. CAPTURE THE EVENT
During the event, our photographers work efficiently around your schedule while remaining as unobtrusive as possible. We focus on creating a complete visual story of the day, including keynote presentations, panel discussions, attendee interactions, networking, branding, sponsor areas, venue details, and candid moments throughout the event. For multi-day programs or time-sensitive campaigns, we can also provide a selection of edited images during the event for social media, press, and marketing use.
04. CURATE, EDIT & DELIVER
After coverage is complete, we review the full collection and carefully curate the strongest images from your event. Each selected photograph is professionally color corrected and edited to maintain a clean, natural, and consistent look. Final images are delivered through an organized online gallery with high-resolution files for marketing, PR, and archival use, along with web-ready versions for convenient sharing.

02. Can you cover large conferences with multiple breakout rooms and simultaneous sessions?
For larger conferences, summits, and conventions, we can assign photographers to different areas of the event so keynote sessions, breakout rooms, networking, sponsor activations, executive meetings, and receptions can be photographed simultaneously.
Before the event, we can review your run of show and venue layout to identify the most important overlapping moments and determine the right level of coverage.

Many NYC venues have specific vendor requirements, including Certificates of Insurance, additional insured language, security procedures, loading access, and advance registration.
If your hotel, conference center, corporate office, or event space provides specific insurance or access requirements, simply send them to us ahead of time so we can prepare the necessary documentation and coordinate accordingly.

For two years in a row, we were trusted to cover the Apache BEAM Summit at the Google NYC – St. John’s Terminal building. We’ve worked with organizers and their partner Google, to provide extensive marketing materials and social media assets in both photo and video form. While considering that the event is taking place at an actual Google office with Google employees, we worked with the event team to make sure employee privacy was protected while the Summit took place.

Skin Of Color Update (or SOCU for short, catchy right?) is one of the most important annual meetings in the dermatology industry as it provides a great outlet to get the latest information on conditions and treatments for people with skin of color. For over five years, we’ve provided both photo and video content services for the event’s marketing and communications teams.
