REQUEST A PROPOSAL

01. TELL US ABOUT YOUR EVENT

We start by learning about your event, your priorities, and how you plan to use the final photos. For conferences and corporate events, this can include reviewing your schedule, venue, important speakers, branding, VIPs, sponsor activations, and any must-have moments. From there, we can recommend the right amount of coverage and photography team for your event.

02. PRE-EVENT COORDINATION

Before event day, we work with your team to review the run of show, locations, timing, and any special photography requests. For larger Orlando conferences and conventions, this can also mean planning around simultaneous breakout sessions, multiple event spaces, receptions, or activities taking place throughout a resort or convention property. Our goal is to arrive knowing what matters most so your team has one less thing to manage.

03. EVENT DAY EXECUTION

On event day, we work around your schedule while keeping our presence as unobtrusive as possible. We capture the moments that tell the full story of your event, including keynote speakers, panels, attendees, networking, branding, sponsor areas, venue details, candid interactions, and anything specifically requested by your team. When needed, we can also provide edited preview images during multi-day conferences or for time-sensitive marketing and social media use.

04. EDITING, CURATION & DELIVERY

After the event, we carefully review the full collection and select the strongest images for your final gallery. Each selected photograph receives professional color correction and editing while maintaining a natural and polished look. Final images are delivered through an organized online gallery, with high-resolution files for marketing and archival use along with web and social-ready versions for easy sharing.

02. Can you provide multiple photographers for large conferences?

Yes. For larger conferences and multi-room events, we can provide additional photographers to cover simultaneous breakout sessions, activations, receptions or other areas taking place at the same time. We can help determine the appropriate team size based on your event schedule, venue layout and photography priorities.

03. How quickly will we receive our edited event photos?

Our standard turnaround for edited event photography is typically within 5 days. For conferences, conventions and events with immediate marketing needs, we can also provide expedited delivery or a selection of edited preview images during the event for social media, press and other time-sensitive uses.

04. Do you offer headshot stations for Orlando conferences and corporate events?

Yes. We can provide professional headshot stations for conferences, conventions and corporate events throughout Orlando. Our setups can include professional lighting, a selected background, on-site attendee flow management, retouching, and personalized image delivery. Headshot stations can be booked as a standalone service or added alongside event photography coverage for larger conferences and meetings.

05. Are you insured and able to provide a Certificate of Insurance for Orlando venues?

Yes. Dro Photo & Video carries $2 million in liability insurance and can provide a Certificate of Insurance when required by your venue, convention center or event organizer. If your venue has specific insurance requirements, send them to us during the planning process so we can coordinate everything before event day.

ORLANDO CASE STUDY

RE//verse Conference Photography at the Caribe Royale Orlando Resort

We took to the Caribe Royale Orlando to provide conference photography for a three-day tech related event called RE//verse. Which was a corporate event, yes, but with a more relaxed crowd of some of the smartest software and code engineers in the U.S.

Our challenge was that we needed to navigate the dim and moody theme of the event while still taking bright and vibrant photos without using a flash every 2 seconds. So it took a little back and forth with the AV lighting crew to get a happy medium and these shots were the result.

We covered the networking, the sponsor booths, the receptions and all of the deep dive topic discussions in the breakout rooms. And we’d be doing the organizers of this event a disservice if we didn’t give them a big recognition for activating an actual fully stocked Bacon Bar for their attendees during the 3pm afternoon break. It was a great way to leave a lasting memory to attendees.

BioScrip Conference Headshot Station at the Renaissance Orlando at SeaWorld® Hotel

We were tasked to set up a conference headshot station to take place in the conference pre-function area of the Renaissance Orlando at SeaWorld® Hotel for a regional meeting for BioScrip, Inc., which was at the time, the largest independent provider of infusion and home care management solutions.

Our headshot station was open for all employees and executives to have updated corporate headshots. We used professional strobe lighting and a light gray background (at the client’s request) with a very compact footprint designed not to interrupt the natural flow of the event. And then we collected each person’s email address, and then personally sent their retouched final photos a few days later.
